A site administrator may require 4 hours of meetings per month. Any meeting that your attendance is required by administration is counted towards the 4 hours, which includes (but is not limited to): staff, department, grade level, IEP, in-services and trainings.
In addition to the 4 hours of meetings per month your site administrator can call for 2 additional hours of meetings per month with the consent of staff. Each site must hold a secret ballot vote on who will decide if additional meetings are to be held. The decision can be made by your site-based decision making team or by all staff members who are required to attend the meeting. However, it is imperative that you vote on how the decision is going to be made at the beginning of the year.
You can put these 2 statements and a box next to them for people to check off:
- I want all staff members who are required to attend the additional meetings to vote by secret ballot.
- I agree to allow the site-based decision making team to decide upon any meetings that exceed the 4 hours per month.
Be sure to hold the election at a time in which everyone has the opportunity to vote. Once the ballots have been tallied, notify staff and administration of the decision. Then when the time comes to vote on additional meetings follow the procedures from the original vote.
Keep a monthly log of all the meetings you attend because if you exceed 4 hours you are entitled to be paid for the overage and this does include time spent in IEPs outside of your duty day. You can download and use the Documentation of Mandatory Meetings form here.
